Overview

About the company

ESRI is the world leader in geographic information system (GIS) software, location intelligence, and mapping platforms. They rely on instructor-led and vILT to train 70,000+ learners every year on their software, services, and products. They provide training in a variety of formats, including private and public instruction.

The Goal

Grow field training capacity through efficiency

To grow field training capacity, ESRI needed to improve efficiency across all aspects of training operations. This included streamlining their technology, improving processes, and centralizing data and analytics for mature forecasting.

The Challenges

Inefficiencies compounding across large training network

Training 70,000+ learners annually is a herculean feat, and inefficiencies scale rapidly at this level. Fragmented data failed to show training outcomes, disconnected systems and data prevented forecasting demand and manual planning and scheduling compounded to become a major bottleneck to growth goals.

  • No single source of truth for training data.
  • Reporting was unreliable.
  • Ad hoc and manual processes spreading across field training offices.
  • Forecasting training demand was impossible.
Administrate integrates with key systems—CRM, HRIS, Docebo, training websites, calendars, financial tools, and reporting—creating a unified hub for managing enterprise training operations. This diagram from Administrate shows the TMS as the operational core, connecting and syncing data across all training-related platforms.
ESRI

We needed to grow training operations but with so many systems, data silos, and manual processes meeting training demand was like turning an aircraft carrier at full speed. We needed an efficient solution for growing capacity.

The Solution

Centralized data, reporting, and operations means flexibility in meeting demand

Administrate connected to ESRI’s tech stack, including their ERP, LMS, Salesforce, contract management systems, order and materials management systems, email, Zoom, Teams and security and compliance technologies. It’s possible to connect Administrate to any enterprise, legacy, or prosperity system because of the Training Management system’s unique open API architecture.

Once connected, it was possible to automate manual processes, such as live event planning, instructor scheduling, communications, and compliance auditing. This was the flexible capacity ESRI needed to meet demand, but that was only half of the solution.

Administrate also consolidated training data into a single source of truth. Now, ESRI could forecast demand, report on training outcomes, and connect it to existing business intelligence dashboards to keep stakeholders in the loop.

  • Connected legacy, proprietary, and critical learning technologies.
  • Automated live event planning and scheduling.
  • Automated communications to learners, instructors, and staff.
  • Single source of truth and training demand forecasts.
  • Training capacity increased to meet demand.

What's next

Eliminating manual work for private trainings

Private training sessions are a large part of ESRI’s program, and they plan to use Administrate to automate the planning, scheduling, and reporting of private trainings. This will require building custom integrations using Administrate’s open API

ESRI

With Administrate, we are able to forecast training demand, and then meet that demand with configurable automations. Manual processes that were chained to spreadsheets are gone. None of this disrupted our existing technologies.
