At Administrate we always want to make sure our customers are getting the best use out of our training management system as possible, as we like highlighting some areas of the system which you may not be using, and therefore won’t realise how useful they can be!
Today we’re going to take a look at scores templates, and how you can use these on your training events to keep track of your students’ academic performance!
In the training and learning industry, the words attainment and progress can be used interchangeably, but it’s important to recognise that they have different meanings and make sure we are using them correctly.
Attainment is important but it’s also key to remember that the final results are not the only way to judge a student’s success. It can be really easy to get hooked on the end result, such as an A or 100% on an exam or final essay, but it’s important to think about where the student’s starting point was, to give you a real idea of how much progress they have made.
For example, not everyone is academically minded and will respond to assessments in the same way, and these are things you need to take into consideration when looking at those final assessment scores.
You need to think overall whether course results actually show how well a student has done over the entire course of their learning journey. That’s why it’s important to strike a balance between the attainment side and the progress side of a student’s performance to give you a better picture of how they performed overall and not just during one aspect of the training course.
Instead of basing everything on a final result, it’s a good idea to set points throughout your training course which will allow you to check on how your students are doing. This could be through assessments, mini quizzes, small projects, etc., to allow you chances for measurement throughout the entire course. This could be a much better approach than simply throwing information at your students for a couple of months and then basing their entire retention and understanding of the course material on one assessment right at the end.
As an instructor, you need to consider the following questions when you get to the end of your course:
If you don’t have the answers to these questions then you maybe need to look at the way you measure success for your training courses and think about how you could make positive changes for the future, so your students get the best learning experience possible, even if final exams aren’t their thing!
It’s important to remember that both attainment and progress are valid ways to measure your students’ success, but you need to marry the two together in the best way to possible to ensure the best results.
Some training courses may need to rely quite heavily on the attainment side of things, and there may be no way to avoid that, but in other situations, it may be more beneficial to you and your students to look at how you can strike a better balance between attainment and progress.
Ultimately you want to start considering progress to be as important as attainment where you can because this will help your training business evolve regarding how you’re teaching, what you’re teaching, and whether your students are actually going to get value out of it. And if your students are getting value out of your courses, they are much more likely to return to you for their future training needs, thus securing more revenue for you!
So, what is a scores template? A scores template is a feature within Administrate’s training management system, which is a collection of customisable fields to record information on a specific student.
Scores templates can be used in a number of ways:
There are lots of advantages to using scores templates to keep track of your student:
If you’re an Administrate customer, it’s straightforward to set up your scores templates so you can start using them with your current students.
Scores templates can be added to each of your course templates so that they will be set up and good to go every time you use a course template to schedule a new instance of a particular course.
On the Edit Course Template page, under Basic Info, you will see a section called Scores Templates. After you click the Edit Scores Templates button, you will be taken to a new page where you can set up the score template you wish to use for that particular course.
You can set up a new template using the fields provided, such as text, checkbox, date, or dropdown, and arrange the template to look exactly how you want it and include all the data you need. If you have other scores templates set up, you can also select one of these and assign it to the course template, so you don’t need to create a new scores template every time.
You can also set up multiple scores templates to be associated with a course, and then simply pick the appropriate one when it comes time to set up the course.
When you are setting up a new event, on the Setup page there is a box titled Scores Template, which will provide a dropdown with all the scores templates associated with that event, so you can pick the one you need. This is great if you have multiple scores templates assigned to a particular event, as it’s really easy to select the one you need in this instance, so you’re always collecting the data you need.
Once your scores template is set up in an event, it is really easy to assign scores to your students. You can either do this individually or in bulk, depending on which is easier for you in any given situation.
If you want to see all the scores you have recorded so far on a particular event for all your students, simply head to the Students tab for that event, and then select Scores, and it will show you all the information you have recorded against your scores template in a table format.
If you have team members who are only likely to be working from your CRM, then you can also view all the scores templates data on a student’s contact record, so your staff don’t have to waste time searching through events to find the information they need, as it’s all right there in your CRM! Simply head to a particular student contact record, and then scroll down to the Events section, and you’ll be able to see all the currently recorded information for that student.
